Migrating from LegalFiles
LegalFiles serves larger immigration practices with complex workflows. Migration is more involved but the payoff in operational clarity is meaningful.
Discovery
Before migration, run a two-week discovery: which LegalFiles workflows, custom fields, and integrations are actually used vs. legacy configurations. It is common to discover that 60% of configured features are unused, which materially simplifies the migration.
Data extraction
LegalFiles extraction typically requires vendor cooperation. Our migration team engages LegalFiles on your behalf and manages the extraction schedule. Total extraction time: 2–4 weeks.
Custom field mapping
LegalFiles instances often have hundreds of custom fields. We recommend keeping only the fields that are actively read or written and archiving the rest as historical structured notes.
Integration re-implementation
External integrations (accounting, HR systems, employer portals) re-implement using ImmPilot's API and webhooks. Budget 40–120 engineering hours depending on integration complexity.
Staged cutover by team
For firms with multiple practice groups, cut over one group at a time. This isolates risk, allows learnings to inform the next group, and avoids a firm-wide disruption. Total cutover across all groups typically 60–120 days.
Success measurement
Baseline your key operational metrics before migration — average time in stage, deadline compliance, paralegal utilisation. Re-measure 90 days after cutover. Every firm we have migrated at this scale has seen material improvement in these metrics.
