Documents: upload, classify, and version
How documents flow through the platform, from client upload to signed submission.
Every document in ImmPilot belongs to a case, has a classification (e.g. passport, ECA report, IMM 5257), a version, and a full audit trail of who uploaded, viewed, and modified it.
Upload paths
Documents can arrive from three sources: uploaded by a team member directly into the case, uploaded by the client through the portal, or received via a secure email intake address unique to each case.
Classification
When a document is uploaded, the AI classifier suggests a document type and extracts key fields (issue date, expiry, name, document number). A team member confirms or corrects the classification. Confirmed classifications drive requirement tracking.
Versioning
When a document of the same type is re-uploaded, it is stored as a new version. Earlier versions are retained. The current version is the one used in submissions and shown by default.
Access control
Some document types (e.g. draft submission letters) are internal-only and never visible to the client. Others (e.g. copies of forms) can be shared with the client through the portal. Access defaults are set per document type and can be overridden per document.
